Assign one person per address
Choose someone who can answer the phone and open the building at pickup and at delivery. Share accurate phone numbers, entry codes only when needed and the truck meeting point. If the same person travels between sites, allow for traffic.
Set decision rules
Make clear who can approve a changed route, added item or extra service. Keep building staff and the new key holder informed of the approximate arrival window. One short group message can replace a chain of missed calls.
